About the Role

Ms Joy Mbakwe is an educator, speaker, consultant, and thought leader working with parents, educators, schools, and organizations to challenge systems and create meaningful change.

We are looking for a highly organized, proactive, and discreet Executive Assistant to support the operational and communication aspects of the business.

This role will play a key part in ensuring enquiries, opportunities, and partnerships are managed professionally and efficiently.

The ideal candidate is detail-oriented, responsive, and confident managing communications with a wide range of stakeholders including schools, organizations, media, and clients.

Key Responsibilities

Inbox & Communication Management

Manage and organize Ms Mbakwe’s email inbox.
Respond to general enquiries and client communications.
Prioritize emails and flag important opportunities.
Draft professional responses on behalf of Ms Mbakwe.
Maintain communication records and follow-ups.

Diary & Scheduling

Manage calendar and scheduling.
Arrange meetings, calls, and speaking engagements.
Coordinate availability with clients and organizations.
Send meeting confirmations and reminders.

Client Administration

Create and send invoices to clients.
Track payments and outstanding invoices.
Maintain client records and contact lists.
Support onboarding for new clients or speaking engagements.

Lead Management

Respond to inbound enquiries from schools, organizations, parents, and speaking requests.
Follow up with warm leads.
Track enquiries and potential opportunities.
Maintain a simple lead pipeline.

Social Media Messaging

Monitor and respond to Instagram messages, LinkedIn messages, and other social media enquiries.
Direct relevant enquiries to appropriate services.
Escalate high-value opportunities.

General Executive Support

Support the smooth running of Ms Mbakwe’s work.
Assist with coordination of events, workshops, or speaking engagements.
Organize documents and operational processes.
Identify opportunities to improve efficiency.

Ideal Candidate Profile

Organization & Attention to Detail

Highly organized.
Strong administrative ability.
Able to manage multiple tasks simultaneously.

Communication Skills

Excellent written communication.
Professional tone when responding to enquiries.
Ability to represent Ms Mbakwe’s voice appropriately.

Initiative & Proactivity

Able to prioritize tasks independently.
Comfortable managing responsibilities without constant direction.
Anticipates needs and identifies opportunities.

Discretion & Professionalism

Comfortable handling confidential information.
Professional interaction with senior stakeholders.

Preferred Experience

Experience as an Executive Assistant, Personal Assistant, or Operations Assistant.
Experience managing inboxes and calendars.
Familiarity with invoicing tools such as Stripe, QuickBooks, Xero, or similar.
Experience supporting entrepreneurs, consultants, speakers, or small businesses.
Experience managing social media communications.

Working Arrangement

Remote role.
Part-time initially with flexible working hours.

Interview Process

Stage 1 – Initial Phone Screening

A short introductory call to discuss the candidate’s background, communication skills, understanding of the role, and availability.

Stage 2 – Task-Based Assessment

A short practical assessment to evaluate email response quality, organization skills, professional communication, and ability to prioritize enquiries.

Example tasks may include drafting responses to sample enquiries, organizing a sample inbox, scheduling a mock calendar scenario, and creating a sample invoice.

Stage 3 – Formal Interview

Final interview focusing on problem-solving ability, professional judgement, experience managing stakeholders, and cultural fit.
