Job Summary
The Executive Assistant provides high-level administrative and executive support to the CEO in a one-on-one working relationship. The role serves as the primary point of contact for internal and external stakeholders on matters relating to the CEO’s office. The Executive Assistant will also act as a liaison between the CEO and clients, staff, consultants, and contractors, while coordinating executive outreach, external relations, and special projects.
Key Responsibilities

Manage the CEO’s calendar, appointments, and scheduling to ensure effective time management.

Prepare and process expense reports and other administrative documentation.

Compose, review, and prepare correspondence, some of which may be confidential.

Arrange travel plans, itineraries, and detailed agendas for meetings and business trips.

Compile and organize documents for meetings, reports, and presentations.

Ensure the CEO’s schedule is well coordinated and respected while acting as a gatekeeper to optimize access to the CEO’s time.

Communicate directly, and on behalf of the CEO, with staff, clients, consultants, and contractors to keep projects moving forward.

Keep the CEO informed about upcoming commitments, responsibilities, and key developments.

Monitor ongoing activities and provide timely updates on important matters affecting the organization.

Build and maintain strong relationships with stakeholders critical to the organization’s success.

Manage and coordinate special projects that may have strategic or organizational impact.

Support the CEO by drafting acknowledgement letters, personal correspondence, and other important documents.

Prioritize multiple and sometimes conflicting tasks, handling matters proactively and ensuring timely completion of projects.
Education and Experience Requirements

Bachelor’s degree in a relevant field.

2–3 years of experience in a similar role supporting C-level executives.

Experience or interest in construction, architecture, or business development is an advantage.

Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and social media platforms.
