Job Summary

The Administrative Assistant will support daily office operations, procurement, logistics, and fleet management while ensuring smooth workflow across departments. You will assist in procurement processes, record-keeping, meeting preparation, travel coordination, and general administrative support to help maintain organizational efficiency.


Key Responsibilities

General Administration

  • Maintain office equipment and ensure smooth operations

  • Monitor and manage office supplies, stationery, and generator consumables

  • Manage document filing, retrieval, and correspondence

  • Provide support to staff and relieve officers as needed

Procurement & Logistics Support

  • Collect and review purchase requisitions

  • Assist in preparing RFQs and RFPs

  • Solicit quotations and prepare bid analyses

  • Maintain vendor database and procurement tracker

  • Assist in vendor payment processing in coordination with Finance

  • Prepare procurement reports and track purchase status

Fleet & Travel Management

  • Schedule vehicle use, track mileage, fuel, and maintenance

  • Coordinate domestic and international travel for staff, consultants, and visitors

  • Maintain relationships with travel agents, airlines, and hotels for competitive rates

  • Support logistics planning for trainings, workshops, and field missions

Additional Duties

  • Perform other assigned tasks to support organizational needs

  • Assist teams as required to ensure operational efficiency

Knowledge, Skills & Abilities

  • Strong organizational, multitasking, and time-management skills

  • Excellent written and verbal communication

  • Proficiency in office software (MS Office, email, record-keeping systems)

  • Attention to detail, discretion, and professionalism

  • Ability to support procurement, logistics, and fleet management processes

Working Conditions

  • Fast-paced, collaborative office environment

  • Occasional domestic and international travel may be required
